How to View Individual Pay Drawn from a Unit Level IFHRMS Report

Every government office downloads the unit-level Pay Drawn report from IFHRMS. This file has the pay drawn details for every employee in the office — all in one HTML file. The problem? The file is so large that your browser cannot open it.

The problem every office faces:

You download the unit-level Pay Drawn Particulars Year Report from IFHRMS. You double-click to open it. The browser loads for a long time, then freezes or crashes. The file has 100 or 200 employees — each with 12 months of Dues, Deductions, and Loans. That is too much HTML for a browser to render at once.

So what do you do? You go back to IFHRMS and download each employee's pay drawn one by one. For 100 employees, that means 100 separate downloads. Each one takes 2-3 minutes (submit request, wait, check status, download). That is 3-5 hours of work just to get individual pay drawn printouts for Treasury verification.

The Unit Pay Drawn Viewer solves this. Select your large unit file, search by IFHRMS number, and see just that one employee's pay drawn — instantly. Print it in the exact IFHRMS format that Treasury accepts.

How to Use the Unit Pay Drawn Viewer

Step 1: Open the tool

Go to tngovtools.com/unit-pay-drawn.

Step 2: Select your file

Click the upload area and select your unit-level Pay Drawn HTML file. Or drag and drop it into the box.

The file is not uploaded to any server. It is read directly in your browser using JavaScript. Your salary data stays on your computer.

The tool reads the file in a few seconds — even if it is 50 MB or larger. You will see a message like "247 employees found in 380ms."

Step 3: Search for an employee

Type the IFHRMS employee number or the employee name in the search box. The list filters as you type.

Click the employee you want to view.

Step 4: View the pay drawn

The tool shows that employee's complete pay drawn — personal information, Dues table, Deductions table, and Loan table — all with monthly columns (March to February) and yearly totals.

Months where an amount appears for the first time are highlighted in gold. Months where an amount changed from the previous month are highlighted in teal. This makes it easy to spot changes at a glance.

Step 5: Print in IFHRMS format

Click "Print in IFHRMS format". The printout uses the exact same layout as the IFHRMS single-person download — same fonts (Tahoma), same table structure, same column names. The Treasury officer will see no difference.

The print also fixes the common page-break problem where half a table appears on one page and the other half on the next page. Each section stays together.

You can search for multiple employees without re-selecting the file. Click "Back to search" to go back and search for another employee. The file stays loaded in memory until you close the browser tab.

Why This Tool Exists

In most offices, the unit-level Pay Drawn file is used for two things:

1. Treasury verification

Treasury asks for individual pay drawn printouts for verification. Without this tool, you have to download each employee's pay drawn separately from IFHRMS — submit request, wait, check status, download. For a 100-person office, that takes hours.

2. Quick reference

When someone asks "what was my DA in July?" or "how much was deducted for GPF last month?", you can search and answer in seconds instead of going back to IFHRMS.

How Is This Different from the Pay Drawn Easy View Tool?

TN GovTools has two Pay Drawn tools:

If you have a single employee's file, use Pay Drawn Easy View. If you have the full office file and want to find one or more employees from it, use Unit Pay Drawn Viewer.

Stop downloading pay drawn one by one from IFHRMS.
Open the unit file once, search for any employee, and print in IFHRMS format.

Frequently Asked Questions

1. Why can't I open the unit-level Pay Drawn HTML in my browser?

The file contains pay drawn data for all employees in the office. This makes it very large — sometimes 50 MB or more. Most browsers freeze or crash when trying to render that much HTML. The Unit Pay Drawn Viewer reads the file as text instead of rendering it, so it works in seconds.

2. Is my salary data uploaded to any server?

No. The file is processed entirely in your browser using JavaScript. Nothing is sent to the server. Your data stays on your computer.

3. Does the printout look like the IFHRMS download?

Yes. The print output uses the exact same format as IFHRMS — same Tahoma font, same table layout, same column names (Dues, Deductions, Loan), same blue header row. Treasury will not see any difference.

4. Can I search by employee name?

Yes. You can search by IFHRMS employee number or by name. The list filters as you type — just type a few characters and the matching employees appear.

5. What about the page break problem?

When you print directly from IFHRMS, sometimes half the table is on one page and half on the next. This tool fixes that — each section (Dues, Deductions, Loans) stays together on one page without breaking in the middle.

6. How many employees can it handle?

The tool has been tested with files containing over 200 employees. The parsing takes less than a second for most files.
